More Powerful Commission Reports
Improvement July 7, 2026When creating reports, the goal is to surface the data you want to see and to exclude the information you don’t. That’s why we previously added the Exclude filters to Case reports (and Workflows). Now the Exclude filter is available with Commission reports.
The Commission report filter now has two tabs: Include and Exclude. The Include tab works like NextAgency filters always have — commission records meeting the criteria you enter will be included in the report. Commission records meeting the criteria you enter in the Exclude tab will not appear in the report.
You’ll find many uses for this more granular approach to filters. For instance, set the Include filter to show your commissions on all product types, then remove results for specific product types or from particular carriers. Or both.
Include and Exclude filter settings are preserved when you save a filter or report so you only need to fine-tune your Commission reports once. Because the goal is not just to surface the data you want to see, it’s to quickly and easily find that data.
Create Case Records Your Way
Improvement June 25, 2026You should be able to decide what information you include when creating a case in NextAgency. Now you can.
Administrative Brokers can go to Settings → Configuration Settings → New Case Fields. The left side lists every available field — system fields and any custom fields you’ve created. Click “Add To” on any field, choose whether it belongs on the Individual template, the Group template, or both, select a section. If you want, mark it as required before a case can be added into NextAgency.
On the right, you’ll see your current layout for each template. Drag fields to reorder them or click × to remove ones you don’t need. Click Save when you’re done. A handful of core fields — Name, Sales Status, Market Segment, and Broker of Record — are always present and can’t be removed.
Create cases with the fields — and only the fields — you want. Because that’s the way it should be.
Use Multiple Dashboards to Gain Greater Insights in NextAgency’s Life and Health Insurance CRM

NextAgency’s dashboards are a great way to see at a glance important information about your agency like recent notes and tasks, clients and policies by carrier, renewal months, and more. But you don’t put all your documents in one folder. So why put all your tiles in one dashboard? Now you don’t have to.
Now you can create multiple dashboards, each with their own set of tiles. When on Dashboard page, click the aptly named “Select Tiles” button to, well, select tiles. Arrange them as you like then click the “Save” button. Give your masterpiece a name, select whether you want to keep it private or make it available to your colleagues, then click the “Create & Apply” button.
To help you get started, NextAgency provides some sample dashboards. You can see all your dashboards, including these templates, by clicking on the “Views” button. Managing and editing all your dashboards is also accessed in the Views drop down. Just click the View All link in the drop down menu. Administrators can limit who on the team can create and share public views by going to Settings → Users, then editing the user’s permissions. Users without this permission can still create private dashboards, they just can’t share them.
The Dashboard view has always been useful for managing your agency and your work. With multiple dashboards it’s exponentially more helpful.
Export Commissions to PDFs

You’ve been able to create PDFs from a client’s benefits. Now you can do the same with carrier commissions. They work the same way. This is ideal when preparing for a client meeting or just to have a record for your files.
Open any case, go to the Commissions tab and open a carrier’s commission list. Click the PDF button in the top-right corner and NextAgency creates a PDF of those commissions. This works on a carrier-by-carrier basis, not all of the client’s commission records in one file. The PDF carries a case header so it’s identifiable at a glance. It includes all the commission columns you see on-screen, but leaves out the navigation tabs and side menu.

If you use NextAgency’s email campaign tool, you know how effective it can be. But when you calculate your email count, you get a number — not the people behind it. Until now.
In the Calculate Email Count modal, the recipient count is a clickable link. Click it to open a full list of every email address the campaign will reach. Adjust selection criteria or use the search box to find and exclude specific recipients from that mailing. They won’t receive your current campaign, but can still get future ones.
Email campaigns help you get your message out. Previewing recipients helps you get that message to the right contacts.
Step Away from Writing a Note or Task. Pick Up Where You Left Off.

You’re partway through writing a note (or task or ticket) when a client calls or you need to check something elsewhere in NextAgency. That used to mean closing the note and losing your place or opening a second tab to get there. Now there’s a faster and easier way.
Minimize the note, task, or ticket you’re working on. When you’re adding or editing one of these items you’ll see a ‘−’ in the form’s header, next to the close button. Click it and the modal collapses to a small chip at the bottom of the screen. You can now navigate to wherever you like in NextAgency and the chip will tag along, ready for you to click on the expand icon and finish what you’ve started — with all your previous work still there. You can minimize as many notes, tasks, and tickets as you need to.
Smarter Filters for Workflows, Case Reports, and the Cases/Policies Page Make the NextAgency Insurance CRM More Useful

NextAgency’s filters enable you to select what to include in a report or a page view. Now you can choose what to leave out.
In filters on the Cases/Policies page, Workflows, and Case reports you’ll now find both Include and Exclude tabs. The Include tab works the same as NextAgency filters always have. The Exclude tab enables you to refine your filter by identifying what you want removed from results. Using both helps you create reports and views that are more finely tuned than ever before.
For example, let’s say you want to identify your medical clients who lack dental coverage. Use the Include filter to show clients with a medical plan. Then use the Exclude to filter out clients with dental coverage. What’s left is your cross-sell report.
Enhanced filters help you get to the information you need fast. That’s why we’ll be extending the Exclude filter to additional pages and reports over the coming months.
Export Benefits From Your Agency Management System to PDF

When preparing to meet with a prospect or client, you may want a print out of their benefits. Now you can create a PDF of their policies using the same export tool as is already available on the tasks and cases lists.
Open any case, go to the Benefits tab, and click the PDF button in the toolbar (top right). The document downloads immediately as a formatted benefits table showing the columns you’ve selected for your benefit tabs. Filters, action buttons, and other UI controls are stripped from the output automatically, leaving just the data you need.
Print it out if you prefer hard copies or save it for a digital copy. The choice is yours.

Managing benefits data across multiple platforms takes time away from serving clients and selling prospects. Do you use Employee Navigator to manage benefits enrollment for your clients? Now you can send data about clients, cases, employees, and their benefit selections directly to NextAgency. No double entry. No playing catch-up. Your NextAgency records stay current without the extra work.
In this initial beta implementation, data flows one way — from Employee Navigator into NextAgency. But we’re already working on expanding the integration to enable you to set up new cases in Employee Navigator directly from NextAgency.
Getting started is easy. Go to Settings → Integrations → Employee Navigator to connect your account. Our support team is ready to help you get set up. Since this is a beta release, we’d love your feedback.
View Your Recent Reports

Running a report is rarely a one-and-done. You tweak it, run it again, decide you preferred an earlier version — or you ran a version last week you’d like to see again today. If you saved the earlier report as a template, no problem. If you didn’t, you were starting over.
Now there’s a faster option. Go to Reports and choose your report type — cases, contacts, commissions, or any other. Just below the report type name, you’ll see two tabs: Saved Templates and Recent Reports. Saved Templates works the same as before. Recent Reports shows you, wait for it, your recent reports whether you saved them or not.
Click the Actions button on any recent report to run, edit, copy, or delete it.
It’s a small addition, but a big time saver when you’re iterating on a report or revisiting one you ran earlier.
Introducing AI Assisted Editing

In NextAgency, when you draft an email or create a task, note, or ticket, you’re presented with a text editor. Sometimes you’re rushed so the finished product isn’t your best work. Or it’s not as clear as you’d like it to be. Everyone benefits from an editor. Now you have one.
We’ve added an AI writing assistant into the text editor. Click the AI Assist button to open the assistant. Choose what you’d like to do with your text:
- Proof the text for spelling and grammar errors
- Improve Writing rewords your text
- Shorten makes your text more concise while preserving your intent
- Change Tone rewrites the text to sound professional, empathetic, casual, neutral, or educational
- Translate converts your writing to one of several languages
- For tasks, notes, and tickets, Summarize consolidates the text while preserving the intent — especially useful after entering long notes from a call or meeting
Once you’ve made your selection, click generate and review the suggestions. Repeat as needed. Your content is never overwritten automatically — you’re in control. Either click Accept and Replace to apply the changes or click Discard to stick with your original text.
A note on AI in NextAgency: AI can be useful. It can also get things wrong. NextAgency will be cautious in how we introduce AI tools. As this editing assistant shows, they’ll always require human oversight and they’ll always be useful, not just a tacked-on gimmick.
New Eligibility Report

Your clients are hiring new employees. When they approach their eligibility date for coverage you want to know about it. A quick email or phone call can ensure their enrollment proceeds smoothly. And it demonstrates to the employer that they’re working with an agency who takes care of the employees.
That’s why we’ve launched the Employee Eligibility report. Set an Eligibility Date range to see every employee expected to become eligible for group benefits during that period, based on the eligibility period configured for each benefit. Benefits the employee is already enrolled in are automatically excluded, so you only see what’s still open.
To use this new tool, go to Reports → Cases → Employee Eligibility, set your date range, choose your columns, and set filters as needed. Click Run and then follow up.
Customize Action Item Stages

Action Items make Tasks even more useful. Use them as sub-tasks on multi-step tasks. Or a checklist within a task to keep everyone on track. Or, well, whatever works for you. Now Action Items are a bit more useful because you can assign stages to them just like you do with Tasks. You can even create your own stage labels.
Stages for Action Items work the same as they do for Tasks. Go to Settings, click on the Cases Settings tab and then on the Stages side tab. Select the Action Items radio button and create the Action Items pipelines you’ve always wanted. Assuming you’ve wanted that kind of thing.

E-Signature Comes to Consent Forms
New December 17, 2025 Get ACA and Medicare consent forms completed faster and with less hassle using NextAgency’s new E-Signature tool. It’s easy to set up a workflow that automatically sends these consent forms to all prospects you’ve identified as needing them. Your prospects can review and digitally sign the documents using a regulatory-approved method. You’ll be emailed (and notified inside NextAgency) once they sign the form and a copy will be automatically stored in the Files tab of their case record. Send Texts From Workflows

When you have something important to say to prospects or clients, texts are a powerful communication tool. They get read more often and sooner than emails. NextAgency’s workflows are an easy way to automate these communications. And now we’ve brought them together. Like Reese’s peanut butter cups: the coming together of two great things.
When creating or editing a workflow, you’ll now see the option to send a text in the Actions drop down. The process is the same as sending emails through workflows, which means it’s straightforward and simple.
To send texts you’ll need to activate NextText. You can learn more about this powerful tool in the NextAgency Help Desk.
Easier-To-Use Bulk Actions Menu

NextAgency’s bulk action tool can save you a lot of time. Now it can save even more. Select multiple cases or policies on the aptly named Cases/Policies page using the checkbox next to the left of each case or policy. Click on the Bulk Action button to get a host of options that can be applied to all the selected items. It’s a huge time saver.
In the past, the list of actions available to you were in one, long list. Now they’re neatly organized by topic:
- Case (e.g., change the status or stage, update dates)
- Automation (e.g., assign checklists or update termination date)
- Team (e.g., assign team members or lead source)
- Sub-Agent (e.g., assign sub-agents)
The new layout saves you time by making it easier to find the action you need.

All Your Sub-Agents in One Place

Once upon a time, NextAgency decided to separately list sub-agents who work in your agency (internal) and those who don’t (external). There was a good reason for this, but none of us can remember what it was. All it seemed to be doing was creating visual clutter and requiring more clicks.
So we’ve combined them in one place—the sub-agent view you’ve long used for external sub-agents. All the information you’ve entered is still there. And if you want to see only your internal sub-agents simply select “Internal” in the Agent Type filter at the top of the page.
All of which makes managing sub-agents faster, easier, and less cluttered.
We also made several enhancements to email campaigns directed to sub-agents.
Select Detail View Fields on Pipeline Cards

The Pipeline view is a powerful way to track cases through your sales and service pipelines. And NextAgency is easy to customize for the way you work. So no surprise, you can now personalize the information available in the detail view of cards in the Pipeline view. This means the information you need is close at hand.
Click on a card in your pipeline to view details about that case. Click the Select Fields button to select up to 8 fields that will appear in this detail view along with the required fields and market segment fields.
Merge Contacts

Duplicates happen. Fortunately, NextAgency’s merge tool makes it straightforward to eliminate them. You’ve long had the ability to merge cases. And now you can merge contacts as well.
- On the Contacts page or the Contacts tab in a case record, find the first contact. Click on the Action button then select the Merge link.
- Select the second contact.
- Give the merged contact a name (it can be the same as one of the existing contacts).
- Select what data you want to keep (email addresses, phone numbers, tags, notes, and associations). Click Save.
The system will create a new contact with the name you provided and the data you selected. The original contacts are not deleted, they’re archived. This means you will still have their history and can undo the merge if needed. You can delete archived contacts through the Action button. To view your archived contacts check the “Archived” box in the filter.
So yes, duplicate contacts happen, but now they’re easier to fix.
Enhanced Association Tracking

Not everyone connected with an individual or an employee is a dependent. Yet you still need to keep track of that association. Now you can more easily track these relationships.
We’ve changed the name of the Dependent tile you’ve seen on the Summary tab of individual case, employee, and dependent records to Associations.
- You’ll still see dependents listed as before and you’ll still add them through the Dependent tab.
- But now, you can also associate other case records such as business partners, colleagues, or similar individuals—just click the “Associate” link in the Associations tile in the Summary tab.
- Once added, you can specify the relationship type using whatever terms work for your agency.

- Improved Column Layout makes customizing reports more intuitive. Fields are still color-coded, but now easier to find.

Copy Tasks AND Their Attachments

Copying and moving tasks and notes is a great time saver. Instead of entering the details of a common action over and over, you can simply copy it from one case to another, make any needed edits, and you’re done. Quick and easy, right?
Now they can—and whether they do or not is up to you. Just check the “include attachments” box when moving or duplicating the task or note. Still easy. Still a time saver.
View Tags in Cases and Policies View

NextAgency gives you plenty of ways to organize your cases to fit the way your agency works. Between statuses, stages, custom fields and tags, your setup can be as broad or as granular as you like.
You’ve long been able to show statuses, stages, and custom fields as columns in the Cases/Policies list view—but not tags. While you could filter by tags, you couldn’t see or sort them in the list. Now you can.
Click the gear in the page header to choose the columns you want to use. You’ll find “Tags” in the Case Details section.
This is one of those small changes that help make NextAgency even more intuitive and useful.
Save Your Pipeline Views

Pipeline Views help you track cases, monitor sales progress, and stay on top of service issues. Many of you track multiple pipelines and asked for a way to quickly recreate and switch between them.
Now you can. Once you’ve set up your ideal Pipeline View, click “Save View” next to the search field and name your view. When you need it again, click “Load” and select it. Being able to save multiple views makes it easy to switch among them.
Which means getting the information and insight you need to stay on top of your business is now even faster.
Automatically Route Emails to Contacts and Sub-Agents with NextMail

NextMail now automatically routes emails to contacts—even those not affiliated with cases—and sub-agents. You can view correspondence, send emails, and create tasks or notes directly from their records. Just click on the NextMail tab in a contact or sub-agent record.
If you already use NextMail, you can enable this functionality by going to Settings → Integrations → NextMail. In the Actions menu, click Manage, then check the appropriate box.
NextMail can streamline your email management and integrate with your existing work processes.

NextAgency’s pipeline view is a powerful tool for tracking your agency’s sales and support processes. This view of your business helps you stay on track while also enabling you to make data-driven decisions that drive growth.
The pipeline shows clients and prospects in a grid format as opposed to the standard list view. Each stage is represented by a column, with individual cards displaying key details like the case name, creation date, broker record, and time spent at the current stage.
As several of you requested, we recently added estimated revenue data to the card, allowing you to quickly identify high-value opportunities and optimize your sales strategy. You can enter estimated revenue by selecting a case and finding the section in the Financial field on the summary tab.
The pipeline’s robust sorting and filtering capabilities enable you to quickly identify and focus on the cases that matter most. This makes it easier to spot stalled high-revenue deals and to recognize top-performing brokers.
Attach Your Own Files to Workflow Emails

Do you use workflows to send emails? Have you ever wanted to attach your own documents to those emails? Good news. You can.
Now you can enhance your marketing resources, distribute your own needs assessments and disclosure forms, or attach collateral to automatically-generated workflow emails.
The process is simple: when adding an email to a workflow, click on the Add Attachments button below the body of your email. Then choose the “From Desktop” item to add files from your local device or “From NextAgency” to automatically pull from your NextAgency library. Attach multiple items in a variety of formats, including PDFs, audio, and video files.
Personalize your automated emails and provide your clients and prospects with a more tailored experience. The result: more professional and relevant communications.

At NextAgency, we understand that the success of your agency hinges on identifying opportunities for growth. That’s why we’re excited to introduce the new Revenue per Client per Year report — a powerful tool available with the NextCommission add-on.
This report provides a detailed breakdown of the commissions earned from each of your clients, organized by month and summarized by year. With this information, you’ll be able to quickly identify your top-performing clients and see those who may need some additional attention.

Assign Custom Fields by Market Segment and Product Type

Your custom fields help you personalize NextAgency to serve you and your agency’s work. They assure you capture the information about clients and prospects you need.
When you have a lot of custom fields, however, displaying them can get unwieldy. Fields you need for individual clients aren’t necessarily relevant for group cases, and vice versa.
Now you can eliminate the clutter and see only the custom fields that are relevant to a specific case based on its market segment and its policies.
When creating or editing a custom field you’ll see a new step labeled Assignment Options. Use the drop-down menus to select the Market Segment and the Product Types to which that field applies.
The result: a streamlined Custom Field section on the summary tab of your case records showing only the information you need and none of the fields you don’t.
See All Your Sub-Agent Tasks in One Report

Assigning tasks to sub-agents is a great way to manage those downstream producers. Tasks help you track on-boarding, license renewals, and more.
Previously, you could only view sub-agent tasks in the Timeline or on individual sub-agent records. Now you can get a comprehensive overview of all your sub-agent tasks with the new Sub-Agent Tasks report.
With the new Sub-Agents Tasks report you can:
- See all tasks across your entire roster of sub-agents.
- Filter the data by sub-agent, task stage, due date, and more (including sub-agent and task custom fields).
- Gain better visibility into your downstream operations.
View Employees and Dependents in the Cases/Policies Page

The Cases/Policies page is where you’ll find a list of — wait for it — cases and policies. Sometimes, however, you want more. Like a list of a group client’s employees. Or seeing an individual client’s dependents. Now you can.
From the Cases/Policies page filter:
- Select the case you want to view.
- Click Employees if you’ve selected a group case.
- Click Dependents if you’ve selected an individual case or want to see dependents in a group case.
When you return to the Cases/Policies view NextAgency presents the employees (or dependents) for the selected case. This makes it easier to access critical client information without leaving the Cases/Policies page.
Assign Checklists to Sub-Agents

Checklists are, to use the technical term, “nifty.” Agencies use checklists to improve consistency, reduce errors and ensure nothing is missed. You can set up a rolling series of tasks, each launched when a previous one is completed. You can think of checklists as a chain where each link forms when a prior link is closed.
Now you can also assign checklists to sub-agents, supporting onboarding, helping sub-agents work through the underwriting process, and much more. Now you can use the power of checklists to manage sub-agents.
Creating and assigning sub-agent checklists is simple:
- Go to Settings → Automations → Checklists.
- Select the Sub-Agent option and click the Add Checklist button.
Assign the checklist from the sub-agent’s record by clicking on its Action button and select Assign. Assign a checklist from a sub-agent’s record by clicking the on the well-named “Assign Checklist” button. It will be immediately visible—no extra steps—on up to 10 fields on the sub-agent’s Summary tab.
New “Termination Date” Field

Policies have a start and renewal date. Yet not all policies end on a renewal date. That’s why it’s important to track policies’ termination dates.
A custom field with this information is a great solution. Having a termination date field built into NextAgency is better because you can use it to track a policy’s end date, filter views and reports on it, and display the data in reports. We’ve created the aptly labeled “Termination Date.” You can use the Import tool’s update feature to populate this field on your existing cases.
Use Statuses and Stages with Sub-Agents

Now you can work with sub-agents the same way you apply statuses and stages to cases in NextAgency.
In Settings:
- Select the “Sub-Agent Settings” tab.
- Click on the “Stages” tab and click “Add Stages”; create as many stages as you like, but we recommend keeping it simple.
Then create your Statuses:
- While still in the “Sub-Agent Settings” tab click on the “Sub-Agent Status” side tab.
- Click “Add Sub-Agent Status”; give your new status a name and then select the stages you want to track in that status. Click the Save button when you are done.
Finally, display the statuses and stages fields:
- Click the gear in the header (to the left of the import button) on the page that lists your sub-agents.
- Check the boxes next to the Sub-Agent Status and Stage fields (now may show up to 10 fields on the sub-agent page.)
